Flows

A flow is a conversation, drawn.
Each step says something. Each answer picks the next.

In Bot Studio. Steps on a canvas. A menu has an exit for every option, a lookup has one for found and one for not found, and you draw where each one goes.

On WhatsApp. The same flow, as the customer sees it: real buttons, and an answer from your own system, in seconds, at any hour.

An example conversation. The bot says: Hi! Welcome to Northbay. What can we help with? The customer taps Track an order. The bot asks for the order number, the customer sends 1042, and after looking it up the bot replies: Order 1042 left Colombo this morning. It arrives tomorrow.

Steps.

A step is one thing the bot does: send a message, give choices, ask a question, check something, look something up.

Exits.

Every way a step can end is an exit. Draw a line from each to the step that comes next, and the conversation follows it.

Flows.

A bot can hold several. Taking an address is one flow, and the three that need an address use it instead of repeating it.


Steps

Everything a step can do.
Talk, decide, sell, and bring in a person.

  • Send a message. Text, a picture, a link, a form or a product, in one go.

  • Give choices. Buttons for up to three, a list for more. Typed words match too.

  • Ask a question. A name, a number, an email. The answer is checked and saved.

  • Check something. Branch on what the bot knows: an answer, a label, the order total.

  • Remember something. Keep a value for later, and put it back into any message.

  • Look up or send data. Ask your own system for an order's status, mid-conversation.

  • Show products. One product, a list, a carousel or the catalog, then wait for the order.

  • Submit an order. The cart becomes a real order in Orders, marked as placed by Scout.

  • Send a form. A WhatsApp Form for an address or a booking, answers kept.

  • Wait for approval. The team checks the payment slip. A label, and the bot carries on.

  • Request a person. Someone is assigned, and the bot stays quiet until they close it.

  • Use another flow. Build taking an address once, and use it from every flow that needs it.

Publishing saves a version and asks before it goes live. If the new one is wrong, make the last one live again from Deployments.

Do we need a developer?

No. Bot Studio is the whole interface. A developer helps only when a step has to call your own system.

Can we test it before customers see it?

Yes. The test panel runs the draft on the real engine. Anything it does for real, such as placing an order, happens for real in a test too.

What is the difference between Scout and AI?

Scout answers from a flow you drew, so it says exactly what you wrote. AI answers from your knowledge base in its own words. Both answer in the Inbox, and either hands over to a person.
